Letting agents, managing agents and portfolio landlords

Fire safety across a portfolio, run as one job

Batch fire risk assessments, alarm servicing, emergency lighting testing, extinguisher servicing and fire door work across every property you manage in Nottinghamshire, Derbyshire and South Yorkshire. Fixed fee agreed up front, quote within 24 hours, same week visits available and renewals prompted before they lapse.

What managing many properties actually needs

A single assessment is a booking. Thirty of them is an operation. The difference is not the survey work, it is the scheduling, the access, the invoicing and knowing what falls due next month.

Scheduling across a portfolio

Properties are grouped by postcode and run in blocks, so a 30 property portfolio becomes a handful of scheduled days rather than 30 separate bookings. You get the run plan in advance and one point of contact for changes.

One invoice, per property breakdown

A single consolidated invoice per run with a line for each property, ready to recharge to landlords. Where landlords are billed direct we issue separate invoices in their name with the same fixed fee agreed up front.

Renewal reminders before expiry

Every assessment, alarm service, emergency lighting duration test and extinguisher service is held with its next due date. We prompt you before the date, not after a licensing officer does.

Access coordination

Tenant appointment windows arranged direct, reminders the day before, key safe codes and office key collection handled. Where a tenant is not in, the return visit is not charged twice on a batch booking.

Remedials quoted from the same visit

Fire door seals, closers, signage, extinguisher replacement from in van stock and detector swaps are commonly closed out on the day. Larger work is priced from the same attendance so there is no second survey fee.

Reports written for the file

Dated PDF per property, photographs against each finding, a prioritised action plan and the certificates behind it. Licensing ready for HMOs and clean enough to send straight to a landlord.

How a batch booking runs

  1. 1. Send the list. Address, property type, tenure and access notes. A spreadsheet is fine. We come back with a fixed fee per property and a run plan within 24 hours.
  2. 2. Access is arranged. We contact tenants directly with appointment windows and remind them the day before, or work to key safes and office collection where the property is empty.
  3. 3. The run happens. Properties are visited in postcode order. Anything urgent is phoned through on the day rather than saved for the report.
  4. 4. Reports and one invoice. A dated PDF per property, a portfolio summary showing every action open across the list, and a consolidated invoice with a per property breakdown.
  5. 5. Remedials closed out. Small items are done on the visit, larger items priced from it, and the file updated when each is completed.
  6. 6. Renewals prompted. Next due dates are held per property and per certificate, and we contact you before they expire.

Portfolio types we run regularly

Student and shared houses

Heavy summer turnover, so assessments and door checks are best run in the changeover window before the new tenancies start and while the houses are empty.

HMO assessments

Blocks and communal areas

Freeholders, RMCs and agents managing communal parts, where the assessment covers the shared route out and the flat entrance doors seen from it.

Blocks of flats

Mixed commercial and residential

Shops with flats above, where the trading risk downstairs is somebody else's sleeping risk upstairs and the separation between them is the whole job.

Retail units

Letting and managing agents, common questions

Batch pricing starts once several properties are booked into the same run rather than at a fixed threshold. The saving comes from travel and scheduling, so five properties in one town usually price better than ten scattered across three counties.
