1. Who we are

Parsec Fire ("we", "us", "our") is the data controller for the personal information described in this notice. You can reach us at:

2. What data we collect

• Enquiry data: name, email, phone number, the premises address you ask us to quote on, and the message you send via our contact form.
• Customer records: site address, contact name, quote and invoice history, and the Fire Risk Assessments, certificates and log-book entries we issue for your premises.
• Site evidence: photographs, drawings and measurements collected during a site visit, used only to support the report we produce for you.
• Technical data: standard server logs (IP, browser, page requested, timestamp) collected when you visit parsecfire.co.uk.

3. Lawful bases

• Contract (Art. 6(1)(b) UK GDPR): to quote, deliver and invoice the fire-safety services you ask us for.
• Legal obligation (Art. 6(1)(c)): to retain records required by HMRC, our insurers, and competent-person frameworks.
• Legitimate interests (Art. 6(1)(f)): to answer enquiries, prevent fraud, and keep our website secure.

We do not use your data for marketing without your explicit opt-in, and we do not sell personal data to third parties.

4. Who we share data with

• Web3Forms — processes the contact-form submission and delivers it to our inbox. Submission data is not retained by Web3Forms beyond what's required to deliver the email.
• Hosting & analytics infrastructure — standard server-log data, kept for security and abuse-prevention only.
• HMRC, our accountants and our insurers — financial records and claims evidence where legally required.
• Local fire & rescue services / local authority licensing teams — only when you explicitly ask us to share an assessment on your behalf, or when required by law.

5. How long we keep it

• Unsuccessful enquiries: deleted within 24 months.
• Customer records, certificates and Fire Risk Assessments: retained for 7 years from the end of the relevant tax year, in line with HMRC requirements and so we can reissue lost certificates to former clients.
• Server logs: typically 30 days.

6. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict and object to the processing of your personal data, and to data portability where applicable. To exercise any of these, email contact@parsecfire.co.uk. We aim to respond within one calendar month.

If you believe we have not handled your data properly, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

7. Cookies

parsecfire.co.uk uses only strictly necessary cookies for security and site functionality. We do not run cross-site advertising or remarketing trackers. If we ever add analytics or marketing cookies, we will surface a clear consent banner before they fire.

8. Changes to this notice

When we change this notice we update the "last updated" date at the top. Material changes will be flagged in our next direct communication with active clients.
